Summary by Persona (Grouped by Role)
👩⚕️ Clinicians / Therapists
- Therapists can start visit notes up to 24 hours before a scheduled session and sign and bill them starting 5 minutes after the session begins. Notes written before the session must be reviewed before signing if they have not been updated afterward.
🧑💼 Admins
- Admins can track invoice and payment details more easily, set up direct billing for scholarship and other funding programs when enabled, and create services that do not use CPT codes.
💳 Billers / Guardians
- Billers: Invoice and account numbers are now available in billing lists and Excel exports. New billing options support direct-billed programs and services without CPT codes, and the Billing Guide links to an updated walkthrough.
- Guardians/Patients: Services without CPT codes can be billed to families or directly to eligible funding programs instead of insurance.
🚀 New Feature - Invoice and Account Numbers Added to Billing Lists
👥 Audience: Billers, Admins
🛠️ Steps to Access: Billing > Patient invoices and Billing > Patient invoice payments. If you've customized the columns on these lists, turn the new columns on from the column picker.
📢 What's new?: The patient invoices list and its Excel export now show each invoice's number. The payments list and its export now show the invoice number and the account number entered with each payment. This makes it easier to match payments from outside programs to your invoices.
🚀 New Feature - Start Visit Notes Early and Updated Signing Times
👥 Audience: Therapists
🛠️ Steps to Access: Starting a note early is now enabled. The signing and billing timing applies to every practice.
📢 What's new?: You can start a visit note up to 24 hours before a scheduled session to plan it. For every practice, a visit note can be signed and billed starting 5 minutes after its session begins, or 5 minutes after the time on the note when there is no session. If a note was written before the session and not updated afterward, you'll be reminded to review it before signing.
🚀 New Feature - Direct Billing for Scholarship and Funding Programs
👥 Audience: Admins, Billers
🛠️ Steps to Access: Available when direct billing is enabled for your practice. Go to Billing > Insurance companies > (payer) > Edit and check "Bill this payer directly (never send claims)".
📢 What's new?: You can now set up scholarship, education savings, grant and county programs as payers you bill directly. Ambiki creates their invoices from each visit but never sends them as claims. You can give each invoice the program's own order number, and record the program's payment in one step.
🛠️ Fix - Billing Guide Links to Updated Billing Walkthrough
👥 Audience: Admins and billers
📅 Date range affected: N/A
❗ Issue: The Billing Guide linked to an older billing walkthrough.
✅ Action Steps: None. The Billing Guide now links to the updated "How do I bill a session from start to finish?" article.
🚀 New Feature - Billing for Services Without CPT Codes
👥 Audience: Admins, Billers
🛠️ Steps to Access: Billing > Billing codes > New billing code, then choose the code NOCPT (No CPT code).
📢 What's new?: You can now set up services that have no CPT code, such as dyslexia intervention or tutoring, under your own names and prices. Ambiki never sends these services to insurance. For a patient with insurance, they're billed to the family, or to a program that pays you directly, while the rest of the visit is billed to insurance as usual.
Thank you for choosing Ambiki.
