How do I set, verify, and clear Attendance in the Schedule?

This article explains how attendance works in Ambiki. You’ll learn how to mark attendance from the Schedule, when a reason is required, how to verify or clear attendance, how to distinguish between clinic-initiated and patient-initiated cancellations, and how attendance options behave for future scheduled events.

 

What can I do with Attendance in the Schedule?

  • The Schedule allows you to track and manage attendance for each event. You can:
    • Mark attendance as Present, Client Canceled, Clinic Canceled, No Show, Absent, or Other
    • Add a reason when an event is not marked Present
    • Verify attendance from the event or the patient profile
    • Clear or update attendance as needed 


How do I set Attendance for a patient?

Step 1: Open the Schedule
From the left navigation menu, select Schedule.

Step 2: Select the event and select patients
Select the event on your schedule and select the patients by checking the box next to their names.

Step 3: Select an attendance status
Select Attendance and select a status: Present, Client canceled, Clinic canceled, No show, Absent, or Other.

Step 4: Add a reason when required and Save
If the status is not Present, enter a reason. You can use Same reason to apply one reason to all selected patients.

Step 5: Verify attendance
The attendance status and reason, if provided, will appear under the patient’s name.

Note: In the Schedule calendar, for events after tomorrow, Present, No show, and Absent are disabled. You can still mark cancellations or other statuses, or wait until the session date. 


How do I clear a patient’s attendance in the Schedule?

Step 1: Open Schedule
On the left navigation, select Schedule.

Select the event on your schedule and select the patients, by checking the box next to their names.

Q: Why do I have to enter a reason for some attendance statuses?

A: A reason is required for any attendance status that is not Present. This helps your team track missed or canceled sessions consistently.
 

Q: I do not see the Clear option in the Attendance dropdown. Why?

A: The Clear option only appears when at least one of the selected patients already has attendance recorded for that event.

 
Q: Why are Present, No show, and Absent disabled for a future session in the Calendar view?

A: For events after tomorrow in the Calendar view, those statuses are disabled. You can still mark cancellations or other statuses, or wait until the session date.
 

Q: How do I distinguish between client and clinic cancellations?

A: When marking attendance for an event in the Schedule, select Clinic canceled for clinic-initiated cancellations or Client canceled for patient-initiated cancellations.


Q: Can I update attendance after it has been saved?

A: Yes. Open the event, select the patient, and choose a new attendance status. Click Save to update it.
